Cloud Console user management

Cloud Console access is managed through user authentication and permissions are managed through user roles.

User accounts

Cloud Console users can create their own Cloud Console accounts. The sign up process varies based on which authentication method is used. Cloud Console supports authentication using:

  • SAML-based single sign-on (SSO)

  • Basic authentication (email and password credentials) with multi-factor authentication (MFA)

Sign up with SSO

To sign up with SSO:

  1. Visit https://console.instabase.com.

  2. Click Sign up.

  3. Enter a corporate email address in the Email address field. The email address must contain your company’s email domain, such as instabase.com, to successfully redirect to the SSO provider.

  4. Click Continue.

  5. When redirected to the SSO provider, complete the sign up process by logging in to the SSO provider.

After authenticating, users are redirected to Cloud Console or can log in at https://console.instabase.com.

Sign up with basic authentication

Note

MFA is enforced when signing up using email and password credentials. To use MFA, users must authenticate through an authenticator app such as Authy, Duo Mobile, Okta Verify, Google Authenticator, or Microsoft Authenticator.

To sign up with basic authentication with MFA:

  1. Visit https://console.instabase.com.

  2. Click Sign up.

  3. Enter your corporate email address in the Email address field.

  4. Enter a password in the Password field, following the requirements outlined in the UI.

  5. Click Continue. A verification email is sent to the registered email address, from support@instabase.com.

  6. Open the verification email and click the verification link.

After verifying, users are redirected to Cloud Console or can log in at https://console.instabase.com to finish setting up multi-factor authentication:

  1. Log in with email and password credentials.

  2. When prompted, complete multi-factor authorization and authentication:

    1. Using the authenticator app, scan the QR code that displays.

    2. Enter the one-time code provided by the authenticator.

    3. Click Continue.

    4. Click Accept to authorize Cloud Console.

User management

Cloud Console admins can review and manage their company’s Cloud Console users from the Users tab of the Installations page.

View users

From the Users tab, admins can see a list of all users in table form. The users list includes each user’s email address and their assigned user roles.

Cloud Console supports the following user roles:

  • Cloud Console user: The Cloud Console user role is assigned by default. This role has the lowest level of permissions and limited access to features. For example, the Cloud Console user role can see installation-level and deployment-level statuses, but can’t see license usage details or the users list.

  • Cloud Console admin: The Cloud Console admin role has the highest level of permissions and the greatest access to features. For example, admins can view license usage details from Cloud Console and manage other users’ roles.

Manage user roles

Cloud Console admins can manage other users from the Users tab.

To promote a user to a Cloud Console admin:

  1. Open Cloud Console.

  2. On the Installations page, select the Users tab.

  3. Click Edit Roles.

  4. In the user’s row of the users list, click + Add Role.

  5. Select Admin.

  6. Click Save.

To demote a user from Cloud Console admin to user:

  1. Open Cloud Console.

  2. On the Installations page, select the Users tab.

  3. Click Edit Roles.

  4. In the user’s row of the users list, select the pill labeled Admin. The role is removed from the user’s row.

  5. Click Save.

Disable user accounts

Cloud Console admins can disable other users Cloud Console accounts. Disabling a user’s account restricts the user from accessing Cloud Console. Disabling a Cloud Console account has no effect on access to the Instabase platform.

To disable a user’s account:

  1. Open Cloud Console.

  2. On the Installations page, select the Users tab.

  3. In the user’s row of the users list, select the checkbox. You can select and disable multiple user accounts at the same time.

  4. Click the Disable user (user with an x) icon.

To re-enable a disabled user account:

  1. Open Cloud Console.

  2. On the Installations page, select the Users tab.

  3. In the user’s row of the users list, select the checkbox. You can select and re-enable multiple user accounts at the same time.

  4. Click the Enable user (user with a checkmark) icon.
